Rutgers, the State University of New Jersey is seeking an Administrative Assistant for the Department of Anesthesiology at the Rutgers Robert Wood Johnson Medical School.
Under direction of the Sr. Clinical Director of Administration, assists with the development, implementation and monitoring of the Anesthesia program within the University in the department's clinical office. Provides a wide variety of administrative and support services to the faculty and professional staff. Coordinates office activities.
Among the key duties of this position are the following:
Coordinates the Department's payroll function, completes staff timesheets, maintains staff attendance records, communicates with the Payroll Office to resolve discrepancies, compiles and submits all pay information for per diem physician and nurse anesthetists working in the department.
Coordinates the Department's purchasing and accounts payable functions, prepares purchase requisitions, check requests, travel approvals, and expense reimbursements for supplies and services; follows up and resolves problems concerning the status of invoiced vendor payments and expense recording, as needed.
Coordinates the calendar, arranges meetings, secures rooms, and drafts agenda for departmental meetings.
Maintains a good working relationship with University and Hospital management regarding office maintenance, temperature control, pest control, parking cards and security.
Assists with new faculty and professional staff orientation process.
Serves as a principal liaison with various units and administrative offices throughout the University and Hospital. Contributes to team effort by accomplishing all other related duties as needed and assigned.
Minimum Education and Experience:
Associate's Degree plus two (2) years of related administrative/secretarial experience in an academic, clinical department or physician's office, preferably in Anesthesiology.
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Demonstrated knowledge of Microsoft Office including Word and Excel.
Demonstrated excellent verbal and written communication skills, as well as knowledge and experience with office procedures and equipment.
Experience using the systems identified below is desired for effective performance; but in the absence of such experience, must have demonstrated ability to learn and be facile with various computerized systems including but not limited to: SIS (RWJUH); SCM (RWJUH); EPIC; Marketplace Purchasing System (Rutgers) and use of the University's financial systems.
Demonstrated ability to be a facile learner, an excellent communicator, and ability to manage multiple tasks simultaneously in order to be effective in this position.
Knowledge of clinical anesthesia, its nature, terminology and processes.
Physical Demands and Work Environment:
Standing, sitting, walking, talking, hearing, and lift objects more than 10lbs. No special vision requirements.
